Virtual event equipment insurance

With virtual events, the equipment used can often be high specification, high risk and hard to repair or replace. When using this equipment during a live online broadcast, the last thing you want to be worried about is the costs incurred should the equipment break. Our policies cover event equipment to give you the peace of mind you need.

 

Public liability insurance

Whilst the risk to the public is much lower at a virtual event, there are still several factors an event organiser should consider to keep the public safe and prevent any liability from accidents or injury. Organisers should be considering the following:

 
  • Are attendees workstations set up appropriately and safely?

  • Keep virtual sessions around 40 minutes long to reduce eye strain, concentration issues or headaches

  • Make sure to provide warnings for strobe lighting or any emotionally sensitive content to give the audience the option to look away

Employers liability insurance

As an employer, you still need to make sure that your employees are safe and their wellbeing is looked after during the event, even if they aren’t on site at a physical event location. Ensure there are processes in place should there be a medical emergency, and make sure they have access to well ventilated areas, as virtual events pose the risk of staying in one place during the entire event. Cancellation insurance

One of the biggest threats to a virtual event is a technical or transmission failure which results in a loss of coverage or the event not going ahead. Alongside our insurance partners, Beazley, we are able to offer cancellation insurance for virtual events as an add-on product to protect the event event organiser against any financial loss or liability if the virtual event cannot commence or continue due to transmission or live streaming failures. We are also able to provide non-appearance cover if a speaker, entertainer, singer or any other key person within your event fails to turn up. In these instances, a good insurance policy is your contingency plan.

 

Do I need virtual event insurance?

With online events such as festivals and conferences on the rise due to Coronavirus, we are only just beginning to understand the issues that can arise from virtual events. While insurance for this type of event is not mandatory, it is recommended, particularly when relying on specialist equipment which could have transmission issues.
